Scheduling volunteers without a spreadsheet

Filling bar shifts and tournament days without a group chat full of "who can do Saturday?"

At many clubs the canteen and every tournament run on a handful of regular volunteers and a spreadsheet kept by one person. Anyone who wants to swap sends a message. Anyone who forgot is not on it. It costs the scheduler time every week, and the rota is never fully up to date.

Set up a rota once

In Grip op Sport you create a period with blocks. For example the bar shift on Monday and Wednesday evenings for the whole season, or a tournament day with setup, jury table, bar and clean-up. Per block you indicate how many people are needed. Grip op Sport then creates the shifts per date by itself.

Volunteers sign up themselves

In their own account, volunteers see which shifts are still open and sign up with one click, on their phone too. The day before their shift they get a reminder. Anyone who wants can put the shifts in their own calendar through a calendar feed.

  • Everyone sees right away which shifts are still free
  • A full shift is closed, so not too many people turn up
  • A reminder the day before prevents empty bars
  • The scheduler sees in one overview what is still open

For parents too

Parents can be volunteers as well as the parent of a member. They then see both the shifts and their children's schedule and invoices, in the same account.
